BSA Troop 54 ("we," "our," or "us") operates the public website at troop3054.org and a private member portal at my.troop3054.org. This policy explains what information we collect, how we use it, and your choices. We keep it short because we believe privacy policies should be readable.
What We Collect
Contact Form
When you use our contact form, we collect your name, email address, and message. This information is processed by Formspree, a third-party form service, and forwarded to our Committee Chair via email. We use this information only to respond to your inquiry.
Registration
When you register a Scout, you are redirected to my.scouting.org, which is operated by Scouting America. We do not collect or process any registration data on our website. Scouting America's privacy policy governs that information.
Member Portal
Troop families use a private, login-required portal at my.troop3054.org for attendance, events, RSVPs, announcements, group chat, and activity photos. The portal is run by our troop's volunteer leaders and is not visible to the public. For troop members it stores:
- Roster information — names, patrol, and role in the troop; email addresses for adults (optional for Scouts, and a parent's address is preferred)
- Activity records — attendance, RSVPs, and camping nights, kept as part of the troop's program records
- Messages and photos — group-channel chat messages and photos from troop activities, visible only to signed-in members
- Technical basics — a sign-in cookie (essential, first-party) and, if you turn notifications on, a push subscription for your device
How the portal is designed, in plain terms:
- There is no private messaging — every message is in a group channel, consistent with Scouting America Youth Protection guidelines
- Everything a Scout can see, their parents can see
- Scouts sign in with a name and PIN — no email or social account is required for a child
- Notifications to Scouts' devices pause overnight
- Access is role-based: only troop leaders can see attendance records and the full roster; committee-only material is not visible to Scouts
The portal runs on Cloudflare infrastructure, and email (sign-in links, announcements, reminders) is delivered by Resend. Troop data is not sold or shared with anyone; it is used only to run our Scouting program. Backup copies are kept by the troop's Committee Chair so records survive mistakes.
Third-Party Services
Our website uses the following third-party services that may collect limited data:
- GitHub Pages — Hosts our website. GitHub may collect standard server logs (IP address, browser type, pages visited). See GitHub's privacy statement.
- Google Fonts — Provides the typefaces used on our site. When you visit a page, your browser downloads fonts from Google's servers. See Google's privacy policy.
- YouTube — We embed a video on our Join page using YouTube's privacy-enhanced mode, which limits tracking. See Google's privacy policy.
- Formspree — Processes contact form submissions. See Formspree's privacy policy.
- Google Maps — We embed a map on our Contact page to show our meeting location. See Google's privacy policy.
- Google Analytics — We use Google Analytics to understand how visitors use our site (pages visited, time on site, general location). This data is anonymous and helps us improve the website. See Google's privacy policy.
What We Don't Do
- We do not sell, share, or rent your personal information to anyone
- We do not use advertising of any kind
- We do not track you across other websites — the only analytics we use is Google Analytics on the public website, described above
- The public website sets no cookies of its own; the member portal sets only an essential sign-in cookie
- We do not collect information from children through the public website; children's information in the member portal exists only as described below
Photos & Media
Photos on this website show Scouts participating in troop activities. In accordance with Scouting America's youth protection guidelines:
- We do not publish Scouts' full names alongside photos without parental consent
- Photos depict Scouts in appropriate Scouting activities only
- Parents may request removal of their child's photo at any time by contacting us
Children's Privacy
The public website does not knowingly collect personal information from children under 13. Scout registration is handled entirely through Scouting America's official portal, which has its own privacy protections.
The member portal does hold information about the Scouts in our troop — their names, patrol, attendance, and photos from activities — because keeping those records is part of running a Scouting unit, just as it always was on paper. Scout accounts are created by troop leaders for registered members of the troop, with their parents connected to the same household in the portal. A Scout never needs to provide an email address or create a social-media-style profile. Parents can see everything their Scout can see, and may review or ask us to correct or remove their child's information at any time. Our troop follows all Scouting America Youth Protection policies, online and off.
Your Choices
You can visit our public website without submitting any personal information. Portal accounts are optional — families who prefer email-only communication can ask for that. If you'd like information about you or your child corrected or removed (from the contact form, the portal, or photos), email us at william.mau@gmail.com and we'll take care of it promptly. When someone leaves the troop, their account is deactivated; attendance history is retained as part of the troop's program records unless you ask us to delete it.
Changes
If we update this policy, we'll revise the "last updated" date at the top. For a volunteer Scout troop website, changes will be rare.
